Privacy Policy

1. Who We Are

WarbyWorks is a coaching practice operated by Mark Warburton, based in Wānaka, New Zealand. This policy explains how personal data is collected, used, stored, and protected when you use this website or engage with coaching services.

2. Data We Collect

Enquiry and contact data: name, email address, and any information you include in a contact form or direct message.

Booking data: name, email, session type, and appointment details collected when you book a discovery or coaching session.

Payment data: bank account details you provide to make direct payment. Card and payment data where processed through Stripe.

Session data: notes taken during or after coaching sessions. Zoom session data including video and audio where sessions take place online.

Website data: anonymised usage data collected automatically via Wix Analytics, including pages visited, time on site, and device/browser type.

3. How and Why We Use Your Data

We collect and process your data on the following bases:

  • To respond to enquiries and manage your booking (contract)

  • To deliver coaching sessions and maintain session records (contract)

  • To process payment (contract)

  • To send appointment reminders and session-related communications (legitimate interest)

  • To improve the website and understand how visitors use it (legitimate interest)

  • For any marketing communications (consent only)

We do not use your data for unsolicited marketing without your consent.

If you are based outside New Zealand, you may have additional rights under the privacy laws of your jurisdiction, set out in Section 5.

4. Third-Party Processors

Personal data is shared with the following third parties solely to deliver services:

Wix handles website hosting, bookings, and analytics, and receives name, email, booking details, and usage data.

Zoom delivers online sessions and receives name, email, and session video/audio.

Microsoft (Office 365) manages calendar and scheduling and receives name, email, and appointment details.

Stripe processes payments and receives name and payment card details.

No data is sold or shared for advertising purposes.

5. Your Rights

Under the New Zealand Privacy Act 2020, you have the right to request access to personal data held about you, request correction of inaccurate data, and ask how your data is being used.

If you are based outside New Zealand, you may have additional rights under the privacy laws of your jurisdiction, including rights relating to erasure, restriction of processing, data portability, and the right to object.

6. Data Retention

  • Enquiry data: deleted after 12 months if no engagement follows

  • Client records and session notes: retained for 7 years from end of engagement

  • Payment records: retained for 7 years (IRD compliance)

  • Website analytics: aggregated; no personally identifiable data retained beyond Wix's standard retention period

7. Security and Cookies

  • Reasonable technical and organisational measures are in place to protect personal data from unauthorised access, loss, or disclosure. Client records are stored securely and access is restricted to the practitioner.

  • Wix Analytics uses cookies to collect anonymised usage data. No advertising or tracking cookies are used. You can control cookie preferences through your browser settings.

  • This policy may be updated periodically. The current version will always be published at warbyworks.com.
